QUANTAIP ("we", "us", "our") operates the QUANTAIP EduOS mobile application, web software, and desktop application (collectively, the "Service"). This Privacy Policy explains how we collect, use, and protect information when schools, administrators, teachers, students, and parents use our Service.
1. Information We Collect
Depending on your role, the Service may collect and store:
Account Information
- Full name
- Phone number
- Login email (auto-generated, not a personal email address)
- Password (encrypted/hashed via Firebase Authentication)
- Role (Admin, Teacher, Student, or Parent)
- School affiliation
Academic Information (Students)
- Class, section, and roll number
- Attendance records
- Test scores and results
- Homework and assignment records
- Fee payment status
Family Information (Parents)
- Relationship to student
- Contact phone number (used for attendance and academic notifications)
Staff Information (Teachers/Admins)
- Subject(s) taught
- Assigned classes
- Attendance and scheduling data
Device Information
- Basic device and app usage data (for performance and crash reporting)
2. How We Use Information
We use collected information to:
- Provide attendance tracking, academic record management, fee management, and timetable features
- Send notifications (e.g., absence alerts) to parents via WhatsApp, using the phone number provided by the school
- Generate reports and analytics for school administrators and teachers
- Maintain and improve the Service
- Provide customer support to schools
We do not sell, rent, or trade personal information to third parties for marketing purposes.
3. Data Storage and Security
- All data is stored securely using Google Firebase (Firestore Database and Firebase Authentication), which applies encryption in transit and at rest.
- Access to student, parent, and staff data is restricted by role-based permissions — for example, a teacher can only access data for classes assigned to them, and a parent can only access their own child's information.
- We implement reasonable technical and organizational measures to protect data against unauthorized access, alteration, or disclosure.
4. Data Sharing
We share data only in the following limited circumstances:
- Within the school: Data is shared between Admin, Teacher, Student, and Parent accounts strictly as needed for the Service to function (e.g., a teacher marking attendance shares that record with the relevant parent).
- WhatsApp notifications: When a school enables absence alerts, the relevant message is sent via WhatsApp using the phone number on file. We do not share data with WhatsApp beyond what is needed to send that message.
- Service providers: We use Google Firebase as our backend infrastructure provider. Firebase processes data on our behalf under Google's own data processing terms.
- Legal requirements: We may disclose data if required by law or to protect the rights, safety, or property of QUANTAIP, our users, or others.
5. Data Retention
We retain data for as long as a school's account remains active, or as needed to provide the Service. Schools may request deletion of their institution's data at any time (see Section 7).
6. Children's Information
QUANTAIP EduOS is a school management tool used under the direction of educational institutions. Student accounts are created and managed by school administrators, not directly by children. Parents and schools are responsible for reviewing and consenting to the collection of student information as part of their institution's use of the Service.
7. Account and Data Deletion
Users or schools who wish to delete their account or request removal of associated data may do so by:
- Contacting the school administrator, who can remove individual student/teacher/parent records, or
- Emailing us directly at ammar@quantaip.org with the request, including the school code and account details
We will process deletion requests within a reasonable timeframe, except where retention is required by law.
8. Your Rights
Depending on your location and applicable law, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to certain uses of your data

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of the Service after changes constitutes acceptance of the revised policy.
